<p>The biggest gripe I always had with owning a Windows machine is that I had to reformat every 3 months just to keep the machine running at optimum speed. With a Mac, you shouldn&#8217;t have to reformat to wipe spyware and viruses off the machine, but if you&#8217;re not careful, your new Mac may befall the same reformat fate, and that&#8217;s what I&#8217;ve put together this how-to.</p>

Don&#8217;t bog down your Mac with clunky Microsoft software. TextEdit, which is pre-installed on your Mac is the best utility to use for a GTD-routine. You can easily launch it by pressing &#8220;CMD+space bar&#8221; then typing in &#8220;textedit&#8221;. It loads quickly, closes quickly, and never needs a &#8220;force quit&#8221;. I use this as my to-do list, note taking mechanism, and when I need to &#8220;write down a quick phone number etc.&#8221; as requested by anyone around me.</p>

Mail Act On lets you move and rearrange emails all from your keyboard, which is like 500x more effective than the trackpad. Download Mail Act On, and you can thank me later.</p>

Feature creep has so often been the problem for web 1.0 players and the web 2.5 crowd has definitely learned its lesson. I think the reason we&#8217;re seeing such a shift to simplicity in this new crowd of web 2.0 apps is simply the fact that everyone is so sick and tired of having to read [ the vcr ] manual just to figure out how to <a href="http://www.rhapsody.com">listen to music</a>.</p>
<p>Just as Apple has simplified the personal computing experience for users, web 2.5 has brought us that same simplification in our favorite web apps.</p>

<p>There are <a href="http://www.flisterz.com/2008/07/01/7-simple-and-useful-web-apps/">so many startups</a> now simply pushing the features out the door, and retaining 1 core element: <span id="more-631"></span><a href="http://tinypaste.com/">share text</a>, <a href="http://www.awesomehighlighter.com/">highlight information</a>, <a href="http://www.tinysong.com/">share music</a>, <a href="http://posterous.com/">blog</a>, &#038; <a href="http://writer.bighugelabs.com/">write</a>. The ideas for these startups are not new, and none of them offer an entire suite of services better than their competitors. What they do have, however, is a singular focus and a goal of fulfilling one need, and doing it really well.</p>
<h2>How to Keep it Simple, Stupid!</h2>
<p>Often times people have a huge vision for their project and want to make sure they include every feature imaginable so that their end user will be fulfilled and put up pictures of your site on their bedroom walls.</p>
<p>Unfortunately, thinking in terms of an engineering standpoint, doesn&#8217;t help when building a successful community. You have to put yourself in the mindset of how your users will be using the product and what best need can you fulfill. Here are a couple quick steps you can take during your next brainstorming session to help get you in the simple mindset.</p>
<ul>
<li>Pretend you had to interact with your app via SMS, would it be painful? Could users still obtain value? Are there ways to add in extra value in this context?</li>
<li>What would your grandmother say? Using the older generation as a guide, you can glean a lot of insight on usability and keeping everything drop-dead-simple.</li>
<li>Would someone who doesn&#8217;t speak english (or your language) understand your app? What steps can be taken to minimize confusion (besides translation).</li>
<li>Describe your site in one sentence. If you can&#8217;t, revise your sales skills or find a need that needs completing for people.</li>
<li>How many other sites do something similar to your site? The more the better; find one aspect they all share and create that singular experience.</li>

Their BasecampHQ project manager is the essential of minimalism and falls just in line with the <a href="http://wisestartupblog.com/sync-taskpaper-with-your-iphone-and-get-things-done/">GTD</a> (Getting Things Done) principle and gives you just the right tools to accomplish your goals in your company. They offer accounts for larger companies going up to $100/month, but they do offer a <a href="http://www.basecampHQ.com/?referrer=ANDREWWISE  ">free version</a> that I definitely suggest you check out. You can only have 1 project, but for testing purposes, this is perfect (and actually kind of addicting, too!).</p>

Just like Basecamp, they have integrated email compatibility so you don&#8217;t have to constantly log into the web interface as well as great timelines for project management, RSS integration, and a beautiful dual-pane interface that is reminiscent of dual monitors. I personally really enjoy the simplicity and ease of use of 5pmweb, and even though I&#8217;m currently using <a href="http://www.basecampHQ.com/?referrer=ANDREWWISE  ">Basecamp</a>, I am leaning hard on switching to 5pmweb due to their great feature package. They offer a <a href="http://www.5pmweb.com/plans.php?affiliate=326">free 14-day trial</a> and then their plans begin at only $14/month (or $2.80 per user).</p>

This is actually a project management suite that I was referred to by some friends on Delicious. And upon never hearing about them I had some initial second-thoughts, but after trying out the service I was very impressed. As you can tell from the screenshots, they have a lot of similarities with Basecamp in the UI, but that&#8217;s where the similarities stop. <a href="http://goplan.info/plans/">Goplan</a> is has the capabilities to take on the needs of an advanced project management suite with their developer API as well as ticket tracking for bugs and such.</p>

One of the best features was the ability to talk to team members through their inline chat program. While I also thought Facebook chat would be nothing special, I find myself using Facebook chat all the time, and it&#8217;s the same with Goplan. For some reason, the ease of use and instant-nature of chat is great a project management feature. Another cool feature (coming soon) is the addition of instant messaging alerts when items change in the dashboard. Like all project management suites, Goplan emails you when there is an update to the system, and with this instant-messaging notification, the connectivity and ease of use will increase dramatically. Goplan offers <a href="http://goplan.info/plans/">free accounts</a> for up to 2 projects and plans starting as low as $10/monht.</p>

<p>I use a number of different elements on my mac from iCal to IMAP mail, and recently I&#8217;ve been using <a href="http://hogbaysoftware.com/tags/taskpaper">TaskPaper</a> to help keep me organized with different tasks and projects.</p>
<h2>Sync TaskPaper with your iPhone</h2>

<p><a href="http://hogbaysoftware.com/tags/taskpaper">TaskPaper</a> is a simple text editor that allows you to organize your projects and tasks via bolded sections for projects and hyphenated sections for tasks. Within tasks and projects, you can use tags to organize information further, for example I use @work and @personal to differentiate what I need to do in my life as well as at work.</p>

<p>Taskpaper is a great solution, but I was having issues synching up taskpaper with what actually goes on. Say I go home and buy groceries, and complete that task, I have to wait until I get back in the office to actually mark it as completed. That may sound like a small inconvenience, but when you have so many things going on, spending double-time doing these sorts of things can turn into big time-wasters.</p>
<p>Luckily, the guys at hogbaysoftware have a solution to help you <a href="http://hogbaysoftware.com/forums/taskpaper/topics/679_Sync_Taskpaper_to_a_Mail_app_draft">sync taskpaper via IMAP</a> and subsequently also your iPhone.</p>

<p>What you have to do is create two apple scripts (just type in script in finder to find the appropriate application) and paste the code below into the scripts. Save the files in your taskpaper scripts folder, mine is: user/Library/Application Support/Taskpaper/scripts</p>

<p>Once you&#8217;ve saved the files, to active them, pull up Taskpaper, and click on the script in the top menu. To send your tasks to Taskpaper, click on the &#8220;Send to Mail,&#8221; and to pull in tasks, click send to Taskpaper. Now, to access your taskpaper anywhere, pull up the drafts folder on your iPhone and edit away.</p>
<p>Sync is the key app for notes and productivity. You need to be able to keep your Taskpaper todo lists that you use on your computer in sync with your iPhone that you travel around with all day long. You can also check off and remove tasks that you complete while you&#8217;re out, and have the results synced on both your iPhone and on your iMac or Apple with Taskpaper.</p>

<p>Often it&#8217;s a back-and-forth trying to get confirmations on the calendar, and with the Mac/PC barrier, I&#8217;m often worried that all of my messages might not be getting through. Then in comes <a href="http://www.presdo.com/schedule/show/25438">Presdo</a>, a new Twitter-like service that&#8217;s supposed to make scheduling events a piece of cake.</p>

<p>You simply enter in a couple of details, and Presdo creates a quick entry for you. Tell Presdo WHEN the event is scheduled to take place, WHO is involved (you start your account by inviting yourself), WHERE the event is taking place, and WHAT the meeting is for. A great feature is that you can export the event easily into your iCal, etc. calendar application.</p>
<p>You can then invite guests to the event, but there is no way of importing your address book as of yet, and to get your invitee in the loop, you have to send them an email. There is a neat messaging platform that allows you to comment on the event, which probably will help with the 4 emails you send trying to confirm a time. I&#8217;ll stay a member and hopefully will see an update from them soon on some cool updates or uses for the platform.</p>
